What are "Groups" and what can I do with it?

In “Groups” you can collaborate with other group members and store your files in one centralized place.

What is the difference between a public and a private group?

A private group is a group that you can join through invitation only and the content of the group is only accessible and visible to the members of the group or people who know the secret weblink of the group (if enabled). The profile of a group can be either public or private. A public group is a group that anyone can join, either right away or after being confirmed. The content of a public group is accessible and visible to everyone, not only to the group members. In order to post files to a public group you need to be member of the group.

How do I create a group?

To create a group, simply click on the “New” Button and choose “Group”. You can now define, whether you want to create a private or a public group. To create a business group, follow this link

How do I invite people to a group?

Click on the group you want to invite friends to. Go to the action menu in the toolbar and click on “Invite Friends to Group”. Choose the friends you want to invite and click “OK”. Your friends will be notified accordingly.

How do I keep a group private?

When creating a group choose “Private” and do not activate secret weblinks. Here group membership will be invite only and the content is only accessible and visible to members. For further privacy you can also untick “Make profile public” when creating a private group. With this option the group profile is not public, hence no one (except the members) can see that this group exists. Furthermore, there will be no requests for group membership.

How do I know what files I have added to a group?

You have a specific folder called “Group Postings” under your user folder. This is a special folder containing all items you have added to groups. If you have stored the same file multiple times, its storage usage is only counted once. Hence, you can post the same file to multiple groups without worrying about your storage space.

How can I join a specific group?

Simply click the gropu you want to join and choose "Join. If the group is private you have to make a request to join the group. Your request will either be granted or rejected by the administrators of the group. If the group is public you can either join right away or your membership has to be confirmed.

How can I search for groups?

Go to "File" and choose "Find Groups"

How can I manage the roles and permissions of my group?

When creating a group you can define the roles and permissions of the group. Per default there are three roles: member, moderator and administrator. You can give each role specific permissions (invite new members, add and delete any item, add items and delete them again) and you can rename the role. Furthermore you can set the default role for new members.

I want to know my role and my permission of the group. Where can I find out?

Right-click on the group and choose "Manage Group"

How do I know when a group has new files?

You will get notified accordingly. A new area will be displayed where all new files have a green mark next to them. The new files will be displayed under the group. If there are many files you can click on “Mark as seen”, which is displayed next to the group name.

How do I know when someone has added a comment to my files?

You will get notified accordingly. A new area will be displayed where you can see the comment to your file. Just click on the speech balloon to see the comment. If there are many new files you can go to the action menu in the toolbar and click on “Mark all as seen”.

I have created a public group, but want to make it private. Can I do this?

No.

I want to delete the group, but can't! Why?

You first have to kick out all members of the group in order to delete the group.
